How an apprenticeship vacancy moves through enrola

enrola follows each apprenticeship vacancy from the first conversation with the employer to the new apprentice’s Learner record. This page describes each step and the record that carries it.

1. The vacancy becomes an Opportunity

You create an Opportunity with the vacancy’s description, location, salary, hours, duration and dates. If the employer holds details you need, you email them a form and merge their answers into the record.

Send vacancy form lets staff choose the vacancy details an employer should complete, then emails them a link to a form laid out like the advert.

2. You advertise it where applicants look

Posting Control posts the Opportunity to the job boards you choose. enrola checks each board’s rules first, including Find an apprenticeship’s, and the vacancy also appears on your enrola job board, your website and your Indeed feed.

Posting Control posts an Opportunity to the boards you tick and logs the result of every post.

3. Applicants apply on your form

Every advert links to your own enrola application form, so applications from every board arrive in one place, labelled with the board they came from. Long forms can be split into steps, and applicants can upload a CV through a file upload question and find their address from their postcode and house number.

Application forms work on a phone, one step at a time.

4. You check and assess each applicant

enrola looks up the applicant in the Learning Records Service and fetches BKSB assessment results where you use them. Your staff confirm the matches and move the Application through your workflow, where each status can send an email, a form or a request for more information.

A dialog comparing the details an applicant submitted with a possible Learning Records Service record, each row marked Matches in green or Different in red.
When the Learning Records Service finds a possible match, staff compare it with the application before accepting or rejecting it.

5. Interviews are booked and confirmed

You open interview slots on the Opportunity and book applicants into them. The applicant and the interviewer each receive an email with links to accept or decline.

Interview availability is set per Opportunity as slots on a calendar.

6. The employer reviews applicant profiles

You send the employer a profile showing only the fields you choose. The employer replies with feedback or an interview request, and the Application’s status updates.

An applicant profile is a web page an employer can read, download as a PDF and reply to.

7. The apprentice is ready for enrolment

Ready for enrolment confirms the applicant’s place and closes their other open Applications, and the Opportunity is marked Filled once every position is filled. Create Learner record makes the Learner record, and enrola can create the learner in Pellcomp PiCS.

A confirmation dialog titled Transfer, asking whether to create a Learner record from the Application.
Transfer to Learner turns a Ready for enrolment Application into a Learner record after a confirmation.

Questions

Does enrola replace our MIS?
No. enrola covers recruitment up to enrolment. Learner data can be exported to CSV for your MIS, and enrola does not produce an Individualised Learner Record (ILR) file.
Can applications from Find an apprenticeship come into enrola?
Yes. Vacancies posted from enrola send applicants to your enrola application form, so their applications arrive in enrola.
Can we change the steps?
Yes. You decide the statuses in each workflow and what each one does, and you can build a different workflow for each Opportunity type.
